Why product data must come before the warehouse workflow

Two products in the same commercial category may require very different handling. A boxed facial tool, a glass serum bottle, a powdered supplement and a sealed capsule container can differ in dimensions, breakage risk, leakage risk, labelling, shelf-life instructions, shipping restrictions and return treatment.

A useful operational review therefore starts with the actual SKU file and product documentation, not only a category name. For every SKU, prepare:

  • product name and SKU;
  • unit, inner-carton and master-carton dimensions and weights;
  • barcode type and barcode position;
  • product format and packaging material;
  • lot or batch identifier format, if applicable;
  • expiry or best-before format, if applicable;
  • written manufacturer storage instructions;
  • handling and packing instructions;
  • destination or carrier restrictions known to the brand;
  • return and non-resellable-stock rules;
  • the documents used by the brand and its advisers to establish market eligibility.

Lot and batch questions to agree before stock arrives

If a product uses lot or batch identifiers, the brand should explain where each identifier appears and what the fulfilment workflow is expected to do with it.

Questions to resolve include:

  • Is the identifier printed on the sellable unit, an inner carton, the master carton or more than one level?
  • Must a lot or batch be recorded at inbound, storage, order processing, return processing or another point?
  • Does the brand require a specific stock-allocation rule?
  • How should mixed-lot cartons or pallets be prepared and labelled?
  • What information must be available if the brand identifies affected stock?
  • Who authorises a hold, release, withdrawal or disposal instruction?

Do not assume automated lot or batch traceability from the use of a warehouse management system. The required fields, scans, reports and exception process must be technically and operationally confirmed for the proposed setup.

Expiry and remaining-shelf-life questions

Where an expiry, use-by or best-before date applies, the brand should provide the date format and its allocation rules before inbound planning begins.

The review should establish:

  • where the date appears on the unit and carton;
  • whether different date formats are used across suppliers;
  • the minimum remaining shelf life required at receipt, allocation and dispatch;
  • whether the brand requires earliest-expiry allocation or another stock rule;
  • what should happen to short-dated, expired, unreadable or conflicting stock;
  • who approves quarantine, return to supplier or disposal;
  • how a returned unit’s date should affect its disposition.

Storage instructions and product suitability

The brand should supply the current manufacturer storage instructions for every relevant SKU. These may cover orientation, light exposure, humidity, stacking, segregation, security or other product-specific conditions.

Temperature-controlled storage is not claimed on this page. If a product specifies a temperature range or another controlled condition, disclose it at the first review and wait for written confirmation of suitability before sending inventory.

The operational assessment may also consider:

  • whether seals and outer packs are intact;
  • whether liquids, powders, glass or fragile components require extra handling;
  • carton stability and stacking limits;
  • leakage, breakage or contamination risks described by the brand;
  • applicable carrier and destination restrictions;
  • the process for damaged or questionable inbound stock.

Suitability is decided for the actual product and proposed flow, not from the words “cosmetics” or “supplements” alone.

Packaging for presentation and protection

Pick-and-pack instructions should protect the product while preserving the presentation expected by the brand. The packing brief may need to distinguish between glass containers, pumps, droppers, jars, sachets, tubs, pouches and boxed products.

Prepare clear answers to these questions:

  • Can units move inside their retail packaging?
  • Is secondary protection required for glass, pumps, liquids or powders?
  • Which items may or may not be packed together?
  • Are inserts, samples or campaign materials order-specific?
  • Are there market- or channel-specific packing instructions?
  • How are packaging revisions identified and introduced?

Sales channels and warehouse system

Shopify orders can be processed automatically as part of the fulfilment workflow. Amazon FBM orders can also be processed in the fulfilment workflow. The exact connector or application, inventory and tracking updates, implementation details and error handling are confirmed during onboarding.

Shipping from the Netherlands

An accepted product may be scoped for European shipping and confirmed destinations including the United Kingdom, United States, Canada, Australia, New Zealand, Brazil, China, Hong Kong and Japan. Additional destinations require a product, carrier, customs and service-level review.

VareYa uses PostNL as its main standard carrier, FedEx for express shipping and Royal Mail for UK services. The final carrier and service are selected for the destination, product, dimensions, weight and agreed delivery requirement.

Carrier acceptance and destination eligibility must be reviewed for the actual product. This page does not promise that every cosmetic or supplement can be sent with every carrier or to every country, and it does not guarantee a delivery time.

Returns need product-specific disposition rules

For this category, the operating plan may use return processing in the Netherlands and an agreed local route in England. Before launch, the brand must document inspection, restocking, quarantine and disposal rules for each relevant product state.

  • required labels, language and consumer information;
  • documentation that must accompany inbound, storage or outbound operations;
  • customs, importer and VAT responsibilities;
  • rules for product holds, withdrawals, returns and disposal;
  • which qualified regulatory, legal, tax or customs advisers are involved.

  2. Assess the storage, handling, carrier and returns requirements.
  3. Confirm lot, batch, expiry and data-field requirements, if applicable.

  5. Confirm the Shopify or Amazon FBM order workflow and available system views.
