Quick Answer

Shopify fulfilment in Europe means that eligible orders from your Shopify store enter a European fulfilment workflow, where stock is stored, orders are prepared and parcels are sent under an agreed process. VareYa can automatically process Shopify orders from Breda, the Netherlands, and uses ShipHero as its warehouse management system. The connector, supported applications, inventory updates, tracking setup and exception handling must be checked for each store before launch.

When a European Shopify operation may make sense

A European stock position may be worth reviewing when your Shopify brand already serves European customers or is preparing to enter several European markets. Instead of treating each order as a separate intercontinental shipment, you can plan an inbound stock flow and fulfil eligible orders from the Netherlands.

This changes the operational questions you need to answer. You will need clear decisions about:

  • which SKUs will be stocked in Europe;
  • where inbound stock will come from;
  • which countries the store will serve;
  • how products must be packed;
  • which shipping services are suitable;
  • how returns must be inspected and processed;
  • which order exceptions require manual review;
  • who is responsible for VAT, customs and product compliance.

A European fulfilment setup does not remove these responsibilities. It creates an operating structure in which they can be agreed before orders are processed.

What VareYa can confirm about Shopify orders

VareYa can automatically process Shopify orders in the fulfilment workflow. ShipHero is the warehouse management system used in the operation.

Before launch, VareYa and the brand must verify the actual store setup. This includes the connector or method used, the applications that affect the order flow, the required order statuses and the rules for unusual or incomplete orders. Inventory and tracking behaviour should also be demonstrated in the agreed setup rather than assumed from the platform name alone.

Amazon FBM orders can also be processed in the fulfilment workflow. Amazon FBA, Pan-European programmes and detailed marketplace synchronisation are not included as standard claims and require a separate review.

A practical Shopify onboarding sequence

A useful onboarding process starts with the operation, not only with the connection.

  1. Review the store and order profile. Confirm monthly order volume, SKU count, items per order, product data, target markets and expected returns.
  2. Review product suitability. Check dimensions, weight, storage, handling, legal restrictions, carrier restrictions and destination requirements.
  3. Define the Shopify workflow. Agree which orders can enter the fulfilment process and how holds, cancellations, address problems and other exceptions should be handled.
  4. Prepare inbound stock. Agree SKU identifiers, barcodes, carton information, quantities and the planned arrival date.
  5. Confirm packing and shipping rules. Define packaging, inserts, carrier services, destination rules and any customer-specific cut-off.
  6. Test the agreed setup. Check representative orders and exceptions before routine processing starts.
  7. Start under the agreed operating process. Monitor the first order flows and resolve any setup issues through the agreed contact route.

A Shopify fulfilment onboarding normally takes one to two weeks. The actual timing follows the store configuration, order volume, product data, inbound readiness and the operating rules that still need to be tested.

Information to prepare for the Shopify setup

Prepare accurate information before requesting a proposal or technical review:

  • Shopify store URL and relevant markets;
  • current and expected monthly order volume;
  • number of active SKUs;
  • average number of items per order;
  • product dimensions and weight;
  • product category and any special storage or handling needs;
  • inbound origin and planned stock arrival;
  • destination mix and required delivery options;
  • packaging, insert and labelling instructions;
  • expected return volume and return decisions;
  • desired start date;
  • applications or workflows that may change order processing.

This information helps separate a simple order flow from one that needs extra handling or technical review.

Shipping from the Netherlands

VareYa supports shipping across Europe and to international destinations, including the United Kingdom, United States, Canada, Australia, New Zealand, Brazil, China, Hong Kong and Japan. Other destinations can be reviewed based on the product, carrier service, customs requirements and agreed service level.

VareYa uses PostNL as its main standard carrier, FedEx for express shipping and Royal Mail for UK services. The final carrier and service are selected for the destination, product and agreed delivery requirement.

A cut-off time of up to 23:00 may be agreed for a suitable operation. It is not a general promise for every store, order, day, carrier or destination. The applicable cut-off depends on the order profile, product, carrier collection and service agreement.

European and UK return routes

Returns can be processed in the Netherlands and through a local return route in England. The process must define what happens after a return arrives.

Possible decisions include inspection, return to available stock, quarantine or disposal. The agreed workflow should also state what information is recorded and which cases need approval from the brand. A return route does not by itself decide whether an item can be resold.

Customised packaging for Shopify orders

VareYa can arrange customised packaging in different formats and sizes. This may support a consistent presentation for Shopify orders, but the practical solution must be agreed first.

Materials, minimum quantities, lead times, stock availability and packing instructions depend on the operation. Provide artwork, dimensions, expected use and replenishment plans when customised packaging forms part of the request.

Operational fit and limitations

VareYa is generally a fit for operations from 500 orders per month. This is a qualification guide, not an automatic acceptance or price promise. Product, SKU, storage, destination and handling requirements are reviewed as part of the quote.

The following limits should be clear before a Shopify fulfilment project starts:

  • the precise connector and technical implementation are not confirmed by the general Shopify capability;
  • real-time inventory updates, tracking return, supported applications and error handling must be technically verified;
  • products prohibited by law are not accepted;
  • all other products remain subject to a compliance, storage, handling and carrier review;
  • shipping availability depends on the product, destination, carrier service, customs requirements and agreed service level;
  • a cut-off of up to 23:00 is only possible when it is suitable and specifically agreed;
  • customised packaging depends on materials, quantities, lead times, stock and product requirements;
  • customs, importer, VAT and product-compliance responsibilities must be agreed for each flow.

VareYa can support the operational coordination of imports into and exports from Europe. This is not independent legal, tax or customs advice. Qualified advisers may be required.
